How to fill out an invoice correctly
An invoice is a payment request and a tax record at the same time. Most invoices
that get paid late are missing one of these eight things — usually a due date or
a clear description of the work.

Identify yourself completely
Your legal or trading name, postal address, and at least one contact method.
If you are registered for sales tax, VAT or GST, your registration number
belongs here too — in most jurisdictions the client cannot reclaim the tax
without it.

Identify the client precisely
Use the legal entity name that will pay the bill, not a brand name or an
individual's name. Larger companies route invoices through accounts payable,
and a mismatch between the invoice and the purchase order is one of the most
common reasons payment stalls.

Give it a unique invoice number
Never reuse or skip numbers. A sequential series is what lets you — and an
auditor — prove that no invoice is missing. This tool numbers invoices
automatically and increments across visits.

Include both dates
The issue date starts the payment clock; the due date ends it. "Due on
receipt" is vague and easy to deprioritise — an explicit calendar date is
significantly harder to ignore.

Itemise the work
One line per deliverable, with quantity and rate shown separately from the
total. "Consulting — $4,000" invites a query. "Discovery workshop, 2 days @
$1,000/day" does not. Specific line items reduce disputes and shorten the
approval path.

Show the arithmetic
Subtotal, then any discount, then tax, then the final amount due. Whoever
approves the invoice should be able to verify every number without a
calculator.

State payment terms and methods
Net 14, Net 30, or your own terms — plus exactly how to pay you: bank details,
accepted methods, and any reference the client should quote. Add your late
payment policy here if you have one.

Keep your own copy
Most tax authorities require invoice records for several years. Save the PDF
somewhere durable when you send it — this tool keeps only your most recent
invoice, in your browser, and is not a substitute for your own records.

What happens to your invoice data
Nothing you type here is transmitted anywhere. There is no account system, no
database, and no server-side component — the entire tool is HTML, CSS and
JavaScript running inside your browser tab.
- Your invoice content — business details, client details, line items, notes and your logo are held in your browser's
localStorage, on your device.
- No transmission — the page makes no network request carrying invoice data. You can verify this yourself: open your browser's developer tools, switch to the Network tab, and fill in the form. Nothing is sent.
- PDF generation is local — the PDF is produced by your browser's own print engine. Your invoice is never uploaded to a conversion service.
- You can erase it — clearing site data for this domain deletes everything permanently. There is no copy anywhere else.
Advertising on this site is served by a third party, which does set its own
cookies. That is separate from your invoice data and is described in the
privacy policy.

Do I need to create an account?
No. There is no sign-up and no login. The tool works immediately when the page loads.
Where is my invoice data stored?
In your own browser only, using local storage. Your business details, logo and current invoice never leave your device — there is no server to send them to. Clearing your browser's site data removes them permanently.
How do I download my invoice as a PDF?
Click Download PDF and choose "Save as PDF" as the destination in your browser's print dialog. The invoice is rendered by your browser's own PDF engine, so the text stays sharp and selectable at any zoom level.
Can I add my company logo?
Yes. Upload a PNG or JPG under 500 KB. It is stored in your browser alongside your other business details and appears on every invoice you create until you remove it.
Can I charge tax or VAT?
Yes. Set a tax rate and rename the label to VAT, GST, Sales Tax or anything else. Tax is calculated on the subtotal after any discount is applied.
Will my invoices still be here next time?
Your business details and the invoice you were last working on are restored automatically. Invoice numbers increment across visits. Because storage is per-browser, invoices do not sync between devices or between different browsers on the same device.
Is an invoice from this tool legally valid?
An invoice is generally valid when it identifies both parties, carries a unique number and date, itemises what is being charged, and states the amount due. This tool includes those fields.
